Description
The Office of Student Life is focused on building a strong foundation to ensure every student's Indiana University (IU) experience is positive, safe, healthy, and meaningful. The Office of Student Life staff and multiple departments aim to help students navigate their time at IU, providing the tools they need to be successful in school and after graduation. Students are our priority, and their health, safety, and overall well-being are our core mission.The Indiana Memorial Union (IMU) is proud to be part of the Office of Student Life. In its nearly 500,000 square feet of space, the IMU hosts more than 10,000 meetings and events per year, supports student organizations and student programs through its Student Involvement and Leadership Center, and is a popular place to gather for food and drink, studying, go bowling or play pool, or just hang out. It is one of the few experiences that touches every IU student on the campus as well as the building that hosts the most visitors to campus. Through its programs, services, and facilities, the IMU plays a key role in creating a sense of welcome and belonging in the IU campus community.
Job Summary
The Set-up Coordinator ensures that events and activities hosted at the Indiana Memorial Union (IMU) run smoothly by managing the preparation and arrangement of event spaces. This role focuses on creating welcoming and functional environments that meet the needs of various events, from student gatherings to large-scale conferences. By leading setup operations, collaborating with student staff, and maintaining direct communication with clients, the Set-up Coordinator plays a key part in fostering positive experiences that reflect the IMU's commitment to service.
Department-Specific Responsibilities
- Guides and direct part-time student set-up staff during shifts, ensuring meeting and event spaces are prepared according to their scheduled start and end times.
- Coordinates the set-up of function rooms for meetings, catering, and conferences, ensuring all requirements are met.
- Arranges and moves event-related equipment, including tables, chairs, staging, sound systems, audiovisual equipment, and computer equipment.
- Assists with technical setup, ensuring audio/visual and other equipment is properly configured and operational.
- Maintains direct communication with clients to address their needs and provide support throughout events.
- Reads and interprets set-up sheets.
- Works with event management concerning logistical requirements.
- Oversees and participates in the set-up of meeting rooms, banquet rooms, performance halls, classrooms, outdoor venues and other facilities.
- Interacts with clients to determine customer needs and resolve problems or concerns.
- Participates in the clean-up of all venues after events and meetings. May perform custodial duties on a regularly assigned area or on an as needed basis. May maintain database to track usage and location of equipment.
- Assembles, operates, and ensures public address and audio-visual equipment is in good working order. Inspects equipment for defects or damage and notifies maintenance personnel or outside service contractors for repairs.

- Consults with supervisor and other personnel to resolve problems, such as facility needs and maintenance, equipment performance, output quality, and work schedules.
- Fills in for supervisor in their absence, scheduling and training hourly employees on work activities.
- Trains employees in work and safety procedures and departmental policies.
- Drives vehicles as needed.
Qualifications
EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)

- 1 year of set-up/facility support experience

- Valid driver's license and ability to be insured by Indiana University upon date of hire

- Ability to work in a safe and efficient manner
- Ability to interpret and follow oral and written instructions
- Knowledge of materials, methods, and the tools used to perform job duties
- Ability to operate the machinery and equipment used in area of expertise including Public Address (PA) systems, audio/visual equipment, spotlights, projectors, screens, overheads, cordless microphones, electrical lighting equipment, and other basic hand tools
- Ability to interpret blueprints or other sketches and drawings
- Ability to operate a computer
Working Conditions / Demands
This role regularly requires the ability to effectively communicate. This role frequently requires the ability to handle equipment. This role frequently requires the ability to remain stationary and ascend/descend ladders/stairs. This role requires the ability to move objects weighing up to 25 pounds. The role requires the ability to detect items in close proximity as well as far away; discern between colors; detect objects in peripheral space of self; discern items in detail; and to have good depth perception. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary
$17.51 per hour
Work Hours
This position primarily requires evening and weekend availability to support events and activities, and works 40 hours per week.
Flexibility in scheduling is essential to meet the dynamic needs of the role.
