Job Summary
The Course Coordinator manages all aspects of assigned statewide courses within the IUSM curriculum. This role is responsible for coordinating the space, time, and resources needed for successful course delivery and serves as the primary point of contact for course-related activities. Key responsibilities include supporting course directors and management teams, organizing course logistics, compiling and analyzing student assessment data, and providing assistance to faculty, staff, and students across regional campuses.
Department Specific Responsibilities
- Exercises independent judgment and problem-solving daily to ensure smooth course operations and plays a vital role in the planning, implementation, and evaluation of medical education courses.
- Coordinates the space, time, and resources necessary for the successful implementation of assigned courses in the IUSM curriculum.
- Collaborates with statewide course management teams, including course directors and site leaders, to support course planning and delivery.
- Prepares reports and documentation for oversight bodies, including curriculum summaries, contact hour reconciliations, and teaching effort reports.
- Coordinates course activities and delegate tasks to regional campus staff as directed by the Statewide Course Director.
- Works closely with regional campus coordinators to address curricular, scheduling, and resource needs.
- Supports the Indianapolis site leader or course director in faculty support and evaluation.
- Creates and maintains course sites in the learning management system (Canvas) and manage instructional technologies related to course activities.
- Compiles and analyzes student assessment data to support grade determination and subgroup analysis.
- Ensures timely grade submission in compliance with LCME standards.
- Identifies students who are not meeting course requirements and help facilitate their entry into the appropriate remediation process by coordinating with course leadership and support teams.
- Supports faculty with test item management and analysis in ExamSoft.
- Coordinates and tracks course assessments, including ExamSoft and NBME exams, and supervise exam administration on the Indianapolis campus.
- Maintains course calendars and coordinate course-related meetings, including IT arrangements.
- Manages course documentation and course materials.
- Provides backup support for other course coordinators as needed.
- Participates in professional development to stay current with medical education trends and best practices and instructional and assessment technologies such as Canvas, ExamSoft, Kaltura, Qualtrics, and MedHub.
- Performs additional duties as assigned to support the success of the course(s), department, or broader educational mission.
- Provides administrative support for student testing services, instructional consulting, placement of student teachers and/or teaching assistants, classroom materials, course administration, and/or a variety of other educational support services.
- Trains and serves as an informational resource for student teachers in terms of pedagogical practice, classroom management, and federal regulations like FERPA and Title IX.
- Provides information to key stakeholders including students, faculty, and staff; documents procedures and participates in the development of relevant procedures.
- Maintains relationships between department and other academic units. Maintains and updates contacts lists as appropriate.
- Acts as a liaison for faculty, staff, and students, responding to and resolving educational resources issues as needed.
- May work with representatives of student groups to encourage participation in services offered.
- May provide training or guidance to student or temporary staff and perform occasional duties in support of other functions or business needs.

EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)
- Bachelor's degree (preferably in education, healthcare, administration, or related field)
Required
- 4 years in related field
- 3 years in program coordination and/or administrative support in an academic setting. Experience in a higher education or medical education administration setting is a plus.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. This position requires the ability to detect items both up close and far away. This position requires the ability to move objects. The person in this role must be able to perform the essential functions with or without an accommodation.
Occasional early morning or evening responsibilities during exams or departmental events.
Additional Information
LEVEL OF DECISION MAKING
- Approximately 60-70% of the responsibilities are designed to follow established policies and procedures of IUSM as it pertains to undergraduate medical education. The remaining 30-40% of this position will require independent decision making as well as shared decision making with the Statewide Course Director.
- This highly complex position works closely with statewide course director(s) and thus will have a significant impact and scope of influence on the School of Medicine as well as its faculty and students. Without competent support of the Course Management Team, particularly the Statewide Course Director(s), there could be a negative impact not only student learning, but the curriculum as a whole.

Indianapolis, Indiana
This position is eligible to work a hybrid schedule (mix between 3 days remote and 2 days in-person work), subject to change in the future based on university policy and business needs.

8:00 AM - 5:00 PM
